* Must have experience managing, planning, and executing large events, including corporate events, fundraisers, and social gatherings. Our Agency follows the Diocese of Lansing Catholic Social Teachings.

***Part Time: 4 days per week. Irregular schedule based on events - will require some nights and weekends. Minimum 30 hours per week***

GENERAL JOB DESCRIPTION

This position is responsible for organizing corporate and private events for companies, organizations, and individuals, as well as assisting with creating internal events. Meets with clients to discuss their needs, maintains partnerships with vendors and caterers, and oversees the set-up, execution, and cleanup of events.

DUTIES AND RESPONSIBILITIES

  • Coordinating all elements of an event to ensure client satisfaction.
  • Keeping accurate reports and records.
  • Responding to clientele in a timely manner.
  • Organizing required services for events.
  • Listening attentively to customer requests and keeping records of these requests.
  • Coordinating with clientele on event budget.
  • Coordinate with the marketing team and supervisor to create marketing material.
  • Participate in networking events to increase awareness of the Conference Center.
  • Oversee the operations and compliance of the event space, including equipment maintenance and Health Department regulations.
  • Documents and updates geographic locations and their main attractions.
  • Reports complaints, grievances, and incidents within the department and/or Agency, and files 3200 forms with DHHS, if needed.
  • Informs designated Agency staff, or CEO, of any unsafe work conditions.
  • Attends department, PQI, and staff meetings and training sessions as required.
  • Performs all job-related duties as required for department/program operations that are judged to be essential.

MINIMUM QUALIFICATIONS

Education: Minimum of an Associates Degree Preferred

Experience: Prior knowledge of the coordination of large-scale events, an understanding of client and vendor management practices, and 2+ years of responsible work in hospitality or other client-related fields.

Training/Certification (if applicable): Must be able to participate in required pieces of training and classes. Must pass ServSafe Manager training within 90 days of employment. All required pieces of training will be paid for by the employer.

REQUIRED KNOWLEDGE, SKILLS, & ABILITIES

  • Knowledge of computers, working with Microsoft Office programs and database entry systems.
  • Ability to prepare and analyze reports, make presentations, and maintain records.
  • Ability to communicate effectively, both orally, and in writing.
  • Ability to work independently and exercise good judgment.
  • Ability to relate to diverse populations and cultures while communicating with individuals and the public in a courteous and effective manner.

PHYSICAL REQUIREMENTS

  • Must be able to talk and hear to effectively communicate and educate individuals and communicate with supervisor and clients in a timely manner.
  • Must be able to stand for extended periods of time; walk low-moderate distances; sit for prolonged periods of time; use hands and fingers to handle, touch, and feel; reach with hands and arms; climb or balance; stoop or kneel; and/or crouch or crawl pending activity, event participation, and/or other work-related item within various environments.
  • Must be able to lift/move up to 25 pounds for transporting program supply materials, if needed.
  • Must be able to be flexible in various work environments and be able to drive low-moderate distances for programming, meetings, and community event activities.
  • Must be able to work in an environment that has a moderate noise level and may experience low-moderate interruptions throughout the day while in the office, and moderate-high interruptions while in the classroom/community.
  • Must be able to tolerate changing weather conditions.

Must pass all background and clearance checks including, but not limited to a criminal background check, DHHS Central Registry Clearance check, and others as deemed applicable, and must have a valid driver’s license and carry auto insurance.

Pay: $18.00 - $22.00 per hour
